Most conference sessions are either never recorded at all, or recorded by the venue on a locked wide from the back of the room with a microphone pointed at 200 people breathing. You gave the talk once. This is the version you can actually use — a framed 4K image, your voice off the sound board, and your slides cut in at full resolution.

Nobody has ever stopped watching a talk because the framing was a little loose. They stop because they cannot hear it. That is why the audio plan comes first here and why it is the thing that separates a professional capture from a phone on a tripod.
Dual-redundant audio — board feed plus a backup lav.
We patch a line-level feed straight off the house sound board and simultaneously record a wireless lavalier on your collar as a separate track. Two independent recordings of your voice. If the board feed clips, distorts, or the AV tech mutes the wrong channel mid-sentence, the lav has the whole thing clean. This is the difference between a professional capture and a phone on a tripod, and it is why we lead with it.
One cinema camera position — Sony FX3, 4K.
The same sensor family as the Netflix-approved FX6, on sticks with a clean sightline to the stage. Not a locked wide from the back of the room — framed, exposed, and monitored for the whole session.
Up to two hours onsite.
Setup, the session itself, and the before/after footage — the room filling in, the introduction, the handshake at the end. A 45-minute talk fits inside two hours with room to breathe.

We are in the room
an hour before you are.
A session is a live event with one take. There is no reset, no second pass, and no asking a room of 200 people to hold while we sort out a cable. So the work happens before you walk on.

Arrival and load-in.
We are in the room 45 to 60 minutes before you go on. Not because setup takes an hour, but because the ten-minute problems — a locked door, a stage change, an AV tech on break — only surface when there is time left to solve them.

Camera position and sightline.
Camera goes up on sticks with a clear line to the stage that no one has to walk through. We pick a position that survives the room filling in — not one that works empty and gets blocked by a latecomer at minute four.

Audio patch off the house board.
We introduce ourselves to the AV tech and ask for a line-level feed off the board. Your lavalier goes on separately and records to its own device. Two paths, no shared point of failure.

Live test — with you, into the actual mic.
You say a few words at speaking volume through the house system. We watch both meters, set levels, and confirm the board feed is not hot and the lav is not rubbing your collar. This is the step most crews skip and every bad recording traces back to.

The session.
Cameras roll before your introduction and keep rolling through the Q&A and the applause. Audio is monitored on headphones the entire time, so if something drifts we know in the moment instead of in the edit.

Media offloaded and verified to two drives before the gear goes in the case — we do not leave a venue with a single copy of your talk. Then we get out of the room fast, because the next speaker is loading in.

Second camera angle
Here is the honest reason this matters, and it has nothing to do with production value. With one camera, a vertical clip is a static frame with a digital punch-in. It holds for about three seconds on a phone before the thumb moves. With two cameras, we cut between real angles — wide to tight on your face at the exact moment the line lands — and the clip actually holds attention long enough to finish.
If you are only ever going to post the full session, one camera is genuinely enough and you should skip this. If you want social clips that perform, the second angle is what makes them work. That is the whole decision.

Six things, and only one of them is difficult. Organizers and AV teams handle these requests constantly — the entire reason recordings go wrong is that nobody asked until the morning of. Send this list ahead and the day runs itself.

A line-level feed from the house sound board.
An XLR or 3.5mm output carrying the room mix. This is the single most important item on this list — it is the difference between your voice and your voice plus 200 people breathing. Ask the AV tech for "a line out for a video recording." They will know exactly what you mean.

Room access 45 to 60 minutes before the session.
Enough time to place a camera, patch audio, and run a live test with the system actually on. If the room is in use until ten minutes prior, tell us in advance and we will change the plan rather than rush it.

A clear sightline from the back of the room.
A camera position at the rear or on a side aisle that does not sit in a walkway and does not get blocked once the room fills. Some venues require the camera behind a specific line — worth confirming before the day.

Written permission from the event organizer to film.
An email is enough. Many conferences hold recording rights to their own sessions by default, and this is the one item that can stop a shoot at the door. Sort it early and it is a non-issue.

Power at the camera position.
A standard outlet within reach, or confirmation there is not one so we bring the batteries to cover a full block. We can run on battery — we just need to know before we are standing there.

The AV tech’s name and contact.
A phone number or an introduction the day before. Thirty seconds of coordination in advance replaces ten minutes of hunting for the right person while your session is starting.
If your organizer has a question about any of it, they can contact us directly and we will coordinate with their AV team so you never have to relay a technical question you did not sign up to answer.
